FilenQ processes your files on your Mac. Image conversion, OCR, PDF tools, checksums and vault encryption run locally. No cloud upload. No AI API. No account required for local workflows.
On-device processing
Files you select for conversion, OCR, previews, checksums or vault encryption are processed on your Mac.
No cloud upload
Core workflows do not upload your files to any server or cloud service. Your work stays where you put it.
No AI API
FilenQ does not send your files or content to an external AI API for processing.
Keychain credentials
Credentials for remote connections (S3, SFTP, FTP, SMB, WebDAV) are stored in the macOS Keychain.
Local vault encryption
The vault uses local encryption with CryptoKit, and Touch ID where your Mac supports it.
No site tracking
This website uses no advertising or cross-site tracking. If minimal analytics are added later, you'll be asked first.
Overview
This Privacy Policy explains how the FilenQ website (filenq.app) and the FilenQ macOS app handle information, and the rights you have under the EU General Data Protection Regulation (GDPR) and similar laws.
The short version: FilenQ is built local-first. The app processes your files on your Mac and does not upload them for core workflows. The website is intentionally lightweight and does not track you across sites or run advertising.

The app: your files stay local
FilenQ is a native macOS app designed to keep your data on your device. We do not operate a backend that receives your files for core functionality.
- Image conversion, resizing and editing run on your Mac.
- OCR uses Apple’s on-device Vision framework.
- PDF tools and checksums are computed locally.
- Vault contents are encrypted on-device with CryptoKit and unlocked locally, with Touch ID where supported.
- Credentials for remote connections (S3, SFTP, FTP, SMB, WebDAV) are stored in the macOS Keychain, not on our servers.
- No account is required for local workflows.
When you connect to a remote server you configure, the app communicates directly with that server. That destination receives the data necessary for the connection under its own terms — FilenQ does not relay it through us.
Information the website processes
When you visit the website, our hosting provider automatically processes limited technical information needed to deliver pages securely and reliably, such as:
- Your IP address and approximate region (used transiently to serve and protect the site).
- Browser type, device and operating system information sent by your browser.
- The pages requested, timestamps and referring URLs in standard server logs.
We use this information only to operate, secure and troubleshoot the site. We do not use it to build advertising profiles, and we do not run third-party analytics that track you across the web. We do not knowingly collect special-category (sensitive) personal data through the website.
If you email us, we process the contact details and message you provide in order to respond.
Legal bases for processing
Where the GDPR applies, we rely on the following legal bases:
- Legitimate interests (Art. 6(1)(f)) — operating, securing and improving the website, and responding to your enquiries.
- Consent (Art. 6(1)(a)) — for any optional cookies or analytics, which remain off unless you opt in. You can withdraw consent at any time.
- Contract (Art. 6(1)(b)) — if you purchase a future paid licence, to provide it (handled by a third-party payment provider as described below).
- Legal obligation (Art. 6(1)(c)) — where we must retain certain records to comply with the law.
International transfers
Some of our service providers may process data outside your country, including outside the European Economic Area. Where that happens, we rely on appropriate safeguards such as the European Commission’s Standard Contractual Clauses or an adequacy decision, so your data keeps an equivalent level of protection.
Data retention
We keep personal data only as long as necessary for the purposes described in this policy. Server logs are retained for a short period for security and troubleshooting and are then deleted or anonymised. Emails you send us are kept for as long as needed to handle your request and any follow-up. Records related to purchases are kept as required by law (for example for tax and accounting).
Your rights
Subject to applicable law, you have the right to:
- Access the personal data we hold about you.
- Request correction of inaccurate data.
- Request erasure of your data (“right to be forgotten”).
- Restrict or object to certain processing, including processing based on legitimate interests.
- Data portability, where applicable.
- Withdraw consent at any time, without affecting prior processing.

Children
The Service is intended for professionals and general users and is not directed to children. We do not knowingly collect personal data from children. If you believe a child has provided us personal data, please contact us so we can delete it.
Security
We take reasonable technical and organisational measures to protect information, including HTTPS across the site, a strict content-security policy and minimising the data we collect. No method of transmission or storage is completely secure, but keeping your files local by design removes a large class of risk in the first place.

Changes & how to complain
We may update this policy from time to time. Material changes will be reflected by the “Last updated” date above.
If you are in the EEA/UK and believe we have not handled your data properly, you have the right to lodge a complaint with your local data protection authority. We would, of course, appreciate the chance to address your concern first.
